Life Science Vendor Manager
Role Overview
You will support a major pharmaceutical R&D site in Oxford. This is a newly created role focused on managing vendors, service contracts, and operational workflows, helping ensure laboratories run smoothly with minimal disruption to scientists and stakeholders. You’ll work closely with on-site teams, external vendors, and international stakeholders, balancing desk-based coordination with on-site vendor activity.

The business specialises in laboratory equipment lifecycle management, scientific services delivery, and process improvement, helping laboratory teams operate safely, compliantly, and efficiently.
The organisation works directly within regulated sites, focusing on structured planning, robust systems, and data-driven decision making. Its services are designed to reduce operational risk, improve asset performance, and minimise disruption to scientific work. The environment values technical accuracy, documentation, and clear ownership of systems, with an emphasis on building sustainable, repeatable processes rather than operating reactively.
Role Requirements
Vendor & Operational Management (approx. 70% desk-based):
Manage service desk tickets and work orders via a CMMS system.
Coordinate vendor quotes, service contracts, POs, and invoices.
Track service activity, costs, savings, and contract data.
Maintain accurate asset and contract records.
Support reporting, KPIs, and supplier performance reviews.
Act as a key operational point of contact for stakeholders.
On-Site Vendor Coordination (approx. 30%):
Schedule and manage vendor visits.
Carry out contractor inductions and escorts.
Review Risk Assessments & Method Statements (RAMS).
Liaise with scientists and site teams to coordinate service activity.
Person Specifications
Essential:
Strong organisational and administrative skills.
A clear sense of ownership and accountability.
Confident communication with vendors and internal stakeholders.
Ability to prioritise multiple tasks in a fast-paced environment.
Flexibility to occasionally support calls with US-based teams.
Desirable (but not essential):
Experience managing contractors or vendors.
IOSH Contractor Management certification (or willingness to train).
Experience in life sciences, laboratories, or regulated environments
Budget tracking, cost control, or KPI/reporting experience.
Training and development support will be provided for the right candidate.
